Ortho Treatment Coordinator

Department: Ortho Clinical
Location: Tacoma, WA

Reporting to the Operations Manager, the Ortho TC is responsible for the day-to-day functions of the Ortho team along with ensuring we are getting patients started. The Ortho TC provides support to Ortho Team Members and the Orthodontist, so they feel a strong desire to want to work at the Practice and with the Smile Center, by modeling team-centric behavior.  Ortho TC inspires the Ortho Team Members through hands-on operation as well as delegation.  They ensure the office runs in a consistent fashion to provide the best patient experience and create a great environment for all Team Members through good communication, collaboration, and fair conflict resolution.

The Ortho TC works closely with the orthodontist and Operations Manager to ensure a standard of excellence is in place.  They promote and enable collaboration between operations and the Smile Center.  They work daily on action plans with their office and Doctors to ensure success.

  • Punctuality, attendance at and performance of the key responsibilities in person at the office on a full-time basis (or as otherwise directed by your supervisor).

  • Model and exemplify the values of the practice and promote the values with Team Members.

  • Treatment Coordinator present Orthodontic treatment plans and giving estimates of treatment costs in an effective manner. Serve as the financial and insurance benefit expert to obtain a high percentage of treatment acceptance from our patients. Ensure the team delivers quality and compassionate ortho care to every patient.

  • Facilitate and communicate opportunities for same day care for our patients and understand how to effectively measure success.

  • Ensure office is scheduled to reach goals with confirmed patients, achieving established patient show rate.

  • Maintain adequate staffing levels by interviewing, screening and selecting applicants to maximize patient schedule and minimize overtime.

  • Elevate employee satisfaction and retention through practices that promote communication, rewards and recognition, teamwork, and administration of effective employee relations practices. Develop and inspire Team Members to grow and advance their career, celebrate success stories with the team.

  • Consistently achieve or exceed team performance targets.

  • Professionally coach, develop, and deliver disciplinary actions as needed to manage performance. Delegate responsibilities to team members effectively (alignment based on strengths).

  • Facilitate daily Huddle covering topics outlined in the Huddle Notes in conjunction with the Orthodontist.

  • Assist with maintaining spreadsheets or databases for tracking purposes, as needed.

  • Foster strong relationships with referring doctors ensuring collaboration and communication with Doctor(s) to ensure a unified message.

  • Resolve patient issues in accordance with company policies and procedures, healthcare regulations and dental board standards.

  • Ensure patients leave well-informed, with all questions answered related to planned treatment, insurance coverage, and fees.

  • Evaluate and track patient experience post-treatment, identify any areas for improvement, and solicit referrals.

  • Ensure that all patient and personnel records are stored securely and in compliance with privacy and security regulations.

  • Adhere to company guidelines as it relates to payroll, human resource functions and maintain current certifications for assigned team.

  • Take responsibility for the appearance and functionality of the office. Ensure facilities and equipment are maintained in accordance with hygiene and safety regulations including OSHA. Hold staff to the highest integrity by adhering to all government regulations and company standards, including compliance standards, and Ortho Audits.

  • Utilize the Operations Manager to measure office results and implement process improvements.

  • Serve as the office team liaison (represent the office to the Regional Operations Manager and Smile Center).

  • Work in partnership with Doctor(s) on completion of annual team member performance evaluations and providing recommendation for team member increases.

  • Accountability and ownership to drive Ortho growth and meet budgets P&L goals.

Qualifications

  • A minimum of 3+ years in the dental industry, with a majority in orthodontic practices, not required

  • Knowledge of ortho dental terminology and dental office procedures is required.

  • Working knowledge of dental billing and insurance protocols is required.

  • Proficiency in dental software (Denticon highly preferred), MS Excel, Word, Outlook, and other various office software and equipment is required.

  • Proactive personality with the ability to be flexible and responsive is required.

  • The ability to effectively communicate with patients, Doctors, family members, team members and leadership is required.

  • Exceptional organizational skills are required.

  • Must be team player; able to effectively build strong relationships at all levels of the organization, especially with in-office staff.

  • Ability to travel to surrounding offices may be required.

  • Must be available to respond to patient or operational issues outside of normal work hours (within reason). Saturdays may be required.
